As Operations Agent Ocean (Export), you are responsible for the full operational and administrative handling of outbound ocean freight shipments. You act as the main point of coordination for shipments entrusted to AIT Belgium, ensuring end-to-end execution from booking to final departure. The role involves daily interaction with clients, subcontractors, agents, and internal departments, and requires a proactive and detail-oriented approach to meet strict deadlines, legal requirements, and customer expectations.

You work under the guidance of the Ocean Export Manager and contribute to AIT’s commitment to operational excellence, compliance, and high customer satisfaction.

• Register export orders and create shipment files in the TMS system (e.g., CargoWise). 
• Coordinate booking of containers with carriers and/or consolidators.
• Liaise with clients, subcontractors, and agents to organize pick-up and delivery.
• Prepare and validate all necessary documentation including BLs, export instructions, certificates, and DG declarations.
• Hand over files to the customs team for clearance; follow up on permit and inspection processes.
• Monitor departure schedules and ensure customers are informed throughout the shipment lifecycle.
• Enter incurred costs and expected revenues into the system; ensure billing instructions are followed.
• Resolve issues or disputes related to operational execution in a service-oriented manner.
• Escalate irregularities or bottlenecks to the Ocean Export Manager as needed.

• Proven experience in freight forwarding, preferably within ocean export operations. · Knowledge of export documentation and incoterms.
• Understanding of international shipping procedures and trade compliance.
• Ability to manage multiple files simultaneously with accuracy and speed.
• Hands-on mentality, customer-centric, and deadline-driven.
• Experience with DG (Dangerous Goods) shipments is a plus.
• Fluent oral and written English is a must.
